Choosing an AI receptionist for small business use comes down to three things: call volume, how you get billed, and whether a human ever needs to pick up. If you want to start free, try Smith.ai. If you are a solo trade or consultant, Rosie or Dialzara are the cheapest entry points. If you need real people on the line, Ruby is the live-receptionist option.

What an AI Receptionist Actually Does
An AI receptionist answers your business phone with a natural-sounding voice. It greets callers, answers common questions, and takes messages. Most can also book appointments, qualify leads, and transfer urgent calls to you.
The big win is coverage. Instead of missing calls after hours, every caller gets an answer. However, the AI only knows what you teach it. So plan to spend an hour writing your FAQs, hours, prices, and transfer rules.
Billing is where tools differ most. Some charge per call, some per minute, and one charges per unique caller. Therefore, the “cheapest” tool depends on how your calls actually look.
1. Smith.ai AI Receptionist
Smith.ai is best known for live receptionists, and it now sells an AI tier too. According to its AI receptionist pricing page, the Free plan costs $0 a month and covers 25 real calls. Extra calls cost $3.00 each.
The Free plan already includes 24/7 answering, call recording and transcripts, lead qualification, and AI scheduling with tools like Calendly. The Pro plan starts at $150 a month, with call bundles of 75, 150, or 300 calls. Notably, AI calls can be transferred to a live North America-based receptionist.
- Pick it if: you run a law firm, consultancy, or agency where one badly handled call is expensive, and you like having a human backup.
- Skip it if: you get lots of short calls. Per-call pricing adds up quickly at high volume.
2. Rosie
Rosie targets solo owners and trades. Its pricing page lists the Professional plan at $49 a month for 250 minutes. Every plan includes 24/7 answering, English and Spanish, call summaries, and Zapier connections.
There is a catch, though. The $49 plan sends appointment links by text but does not book directly on your calendar or transfer calls. For that, you need the Scale plan at $149 a month with 1,000 minutes. A 7-day free trial is available.
- Pick it if: you are a plumber, cleaner, or consultant who needs calls answered in English and Spanish without fuss.
- Skip it if: you need live transfers but only want to pay the entry price.
3. Dialzara
Dialzara has the lowest entry price here. Its pricing page shows Business Lite at $29 a month for 60 minutes, with overage at $0.48 per minute. Business Pro is $99 a month for 220 minutes.
Even the Lite plan lists appointment booking, lead qualification, call routing, CRM and calendar integration, and 10 languages. However, warm transfer to your team only appears on the Elite plan at $349 a month. There is a 7-day free trial and no setup fee.
- Pick it if: you get a handful of calls a day and want booking at the lowest monthly cost.
- Skip it if: you need calls transferred to staff, unless the higher plan fits your budget.
4. Goodcall
Goodcall bills differently. According to its pricing page, you pay per unique customer per month, not per minute. Starter is $79 a month for 100 unique customers, or roughly 150 calls.
As a result, repeat callers are cheap. A restaurant regular who calls five times still counts once. Growth is $129 a month for 500 unique customers. You can build and test a demo agent for free and pay only when you connect a number.
- Pick it if: you run a restaurant, shop, or service business where the same customers call often.
- Skip it if: most of your calls come from new people who call once.
5. My AI Front Desk
My AI Front Desk bundles phone, chat, and text in one plan. Its pricing page lists Business-in-a-Box at $99 a month, or $79 a month billed yearly. That includes 200 voice minutes, 100 chatbot conversations, and 400 SMS messages.
Extra voice minutes cost about $0.25 each through a credit system. The plan also includes an AI calendar, a basic CRM, and voice answering in 20+ languages. A 7-day free trial is offered.
- Pick it if: you run a clinic, salon, or office that books lots of appointments and wants web chat too.
- Skip it if: you only need phone answering and want the simplest bill.
6. Ruby (Live Human Receptionists)
Ruby is not an AI-only service. It provides live human receptionists, with optional AI features at no extra cost. Its pricing page starts at $250 a month for 50 minutes, and 200 minutes cost $720.
In return, you get 24/7 live answering, bilingual Spanish support, intake, and payment collection. In short, it costs far more per minute, but callers always reach a person.
- Pick it if: your callers expect a human, or your calls are complex and emotional.
- Skip it if: budget matters most. An AI tool covers far more minutes for the same money.
How to Choose the Right AI Receptionist for Small Business Calls
Start by pulling last month’s call log. Count total calls, average call length, and how many came from repeat callers. Then match that to the billing model.
- Few, longer calls: per-call pricing (Smith.ai) can beat per-minute pricing.
- Many short calls: per-minute plans like Rosie or Dialzara usually cost less.
- Many repeat callers: Goodcall’s per-customer billing is built for you.
- Need booking on a calendar: check the exact plan. Some entry plans only send links.
- Healthcare: ask for a signed BAA in writing before any patient data flows.
Finally, tell callers they are talking to an AI and that calls may be recorded. Recording-consent rules vary by state, so check yours.
Setup Checklist Before You Go Live
Whichever tool you pick, the setup steps are similar. Plan for one focused afternoon. After that, review call summaries weekly for the first month.
- Write a one-page FAQ: hours, service area, prices or price ranges, and what you do not offer.
- Decide your transfer rules. For example, transfer emergencies, and take messages for everything else.
- Connect your calendar and set buffer times so the AI does not double-book you.
- Choose a number. Most tools let you forward your existing line or give you a new local number.
- Make five test calls yourself, including an angry caller and an off-topic question.
- Read the transcripts, fix wrong answers in your FAQ, and test again.
Most problems come from missing information, not from the AI itself. So, the better your FAQ, the better your AI receptionist for small business calls will perform.
FAQ
How much does an AI receptionist cost?
As of November 2026, entry plans run from $0 (Smith.ai, 25 calls) to about $99 a month. Most small businesses land between $49 and $150 a month. Live human services like Ruby start around $250.
Can an AI receptionist book appointments?
Yes, most can. However, some entry plans only text a booking link. Check that your plan lists direct calendar booking and works with your calendar tool.
Will callers know it is an AI?
Modern voices sound natural, but you should still disclose it. Honesty builds trust, and some states have rules about recording and automated calls.
Is an AI receptionist better than a live answering service?
It is cheaper and always available. A live service handles complex or sensitive calls better. Some businesses use AI first with a transfer to a human for urgent calls.
